Group Flight Booking and Airline Group Rates

Booking flights for ten or more people is different from booking one seat. Airlines treat groups separately, with their own deposits, name lists and deadlines. TravelSource handles that for churches, mission teams, NGOs, schools, choirs, sports teams and families traveling together, so you have one coordinator to work with.

How group flight booking works

  1. Send your plan. Give us the route, dates and how many are traveling. If the final headcount is not certain, give us a range.
  2. Get a group quote. A specialist who knows your destination prices the team together and replies with options, usually the same day.
  3. Hold the seats. A deposit holds the group’s seats. It is $50 per person for domestic trips and $200 per person for international trips.
  4. Pay and confirm. Final payment, the passenger name list and ticketing are due 45 to 75 days before departure, depending on the airline. Your quote shows the date.

Airline group rates, in plain terms

A group rate is a negotiated fare for a team traveling on the same flights. Airlines usually set the minimum, often around ten travelers, and the terms for deposits, names and changes vary by airline. Group rates are not always lower than the best public fare on a given day, so we compare and tell you which is better. Teams smaller than ten still get a specialist quote.

Paying as a group

We can arrange payment for the whole group by ACH bank transfer or Zelle. Each traveler can also pay for their own seat, in full or over monthly payments on eligible bookings, as long as every seat is paid by the group’s final payment date.

Who we book groups for

  • Church and mission teams, including missionary and humanitarian trips
  • Volunteer, medical and relief teams, and NGOs
