TravelSource (“we”, “us”) is a travel agency that operates travelsource.org. This policy explains what personal information we collect, why we collect it, who we share it with, how long we keep it, and the choices you have. We’ve tried to write it in plain language.
What we collect
- Account details. Your name, email address and password (stored securely, never in readable form), and optionally your phone number.
- Trip requests. The routes, dates, travelers, preferences and notes you send us, including any hotels, cars, transfers or travel cover you ask us to quote, and for group requests, details about your group and budget.
- Saved travelers. Names as they appear on passports, relationship, optional email, and optional frequent-flier programs and numbers. Frequent-flier numbers are encrypted in our database and shown masked.
- Bookings. Itineraries, booking references, status and totals for trips we arrange, plus credit you earn with us.
- AirPool. The trip details an organizer enters and who has joined. Other members see only a first name and last initial. Your email and phone are shared only with the organizer’s TravelSource specialist when the group is sent to us.
- Messages. What you send through our contact form and what you type to Sage, our AI assistant.
- Technical data. Standard server logs (IP address, browser, pages requested) for security and troubleshooting.
We do not ask you to enter passport numbers or payment card numbers on our site, and you should not send them in chat or forms. Payments are handled by our payment and financing providers.
How we use it
- To prepare quotes, arrange and ticket travel, and handle changes and cancellations.
- To run your account, saved travelers, booking history and credit.
- To email you about your inquiries, bookings, account and AirPools. These are service messages, not marketing.
- To keep the site secure, prevent fraud and abuse, and meet legal and accounting obligations.
- To understand how the site is used and improve it.
If we ever send promotional email, we will only do so where permitted and you will be able to opt out in every message.
Who we share it with
We share only what is needed to do the job. We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
- Airlines and travel suppliers, including the ticketing partners who issue tickets for us, which need traveler names, contact details and travel information.
- Payment and financing providers when you choose to pay or pay over time. They act under their own terms and privacy policies.
- Our email delivery provider, which sends our messages to you.
- Anthropic, the provider of the AI model behind Sage. What you type to Sage is sent to Anthropic to generate replies. We do not store Sage conversations; they stay in your browser tab. Please do not share sensitive details with Sage.
- Airport and fare lookup providers, which receive the city or airport you search for.
- Hosting and font providers, which receive technical data such as your IP address when they serve our pages and fonts.
- Authorities and advisers where the law requires it, to protect rights and safety, or in a business transfer.
Referrals and our mailing list
If a member refers a friend, we receive the friend’s name and email address from the member, and we record who referred them. We email that person once to say who suggested us, and they can unsubscribe in one click; we then never email them again. We also email past clients and people who have asked to hear from us about offers and travel news. Every marketing email includes an unsubscribe link and our mailing address. If you are on our list and want to be removed, use the link in any email or contact us. If a member referred you and you’d like us to delete your details, contact us and we will.
Cookies and similar storage
- Login cookies keep you signed in.
- Your view (Personal, Travel Manager or Organization) is remembered in a cookie for up to a year.
- Drafts and chat. An unsent inquiry or your current Sage chat is kept in your browser’s session storage for that tab. It is not sent to us until you submit it.
- Preferences, such as dismissing a banner, are kept in your browser’s local storage.
We do not use advertising cookies. If we add analytics, we will update this section.
How long we keep it
- Bookings and itineraries appear in your account for 12 months after travel and are deleted from our systems after 3 years.
- Account details, saved travelers and inquiries are kept while your account is open and as long as we need them to serve you and keep required records.
- Contact-form messages are kept as long as needed to respond and keep records.
- You can ask us to delete your account and data at any time, subject to records we must keep by law.
Security
We use HTTPS, encrypt frequent-flier numbers, limit who can see account data, and keep our software updated. No system is perfectly secure, so please use a strong, unique password.
Your choices and rights
You can view and edit your profile and saved travelers in your account. You may also ask us to access, correct, export or delete your personal information, or to limit how we use it. Depending on where you live, such as California, the UK or the European Economic Area, you may have additional legal rights, including to object to certain processing and to complain to your local data protection authority. To exercise a right, email us at [email protected]. We may need to verify your identity first, and we will respond within the time the law requires.
International transfers
We and our service providers may process information in the United States and other countries. Where required, we use appropriate safeguards for those transfers.
Children
Our services are for adults. People under 18 may travel and join an AirPool only with a parent or guardian’s permission. We do not knowingly collect personal information from children under 13.
Changes to this policy
We may update this policy as our services change. The date at the top shows when it was last updated, and we will tell you about significant changes.
